Facilities Services

Central Receiving

Central Receiving is located on the first floor of Building 25. The following highlights are among the services provided to the campus.

Receiving and Delivery

  • Items shipped to Highline are received by Central Receiving on a daily basis and delivered to the campus within a day of receipt.
  • Inventoried items requiring tags are delivered as soon as that process is complete. Most computer equipment is released to Administrative Technologies for installation.
  • Deliveries should be made to the north side of Building 25.

Office Moves

  • Central Receiving provides assistance with small moves. The VP or Designee authorization signature as well as ten (10) days prior notice is now required. Larger moves will be coordinated through the use of a moving vendor at the requesting departments’ cost. Please contact the Purchasing Manager for more information.
  • For assistance with small moves, forward a Furniture Move Form to Moves@highline.edu.
  • Several factors often need to be considered to complete an office move, such as:
    • Will this involve moving computers or telephones?
    •  Will you have items that will not be needed at the new location? Will they need to go to surplus? See surplus.

Mail Services

Contact the Mail Services Lead or Central Services Manager

Pick Up and Delivery

Mail is picked up from the Post Office each morning and sorted for campus delivery starting at 10:00 AM. Each afternoon, mailroom staff prepare mail for delivery to the Post Office. Mail must be received in the mailroom by 2:30 PM for processing.

Special Services

If your mail needs additional services, i.e., certified, Express, please print and complete a Mail Handling Request Form and attach it to your mail.

Packages and Express Shipments

Mail Services processes all shipments to United Parcel Service and express shipments to Federal Express and other carriers. Please complete a Mail Handling Request Form. Provide information as to the contents of your package and the value for insurance and customs purposes. Mail Services will provide packaging materials and arrange for pick up. Deadlines are: 8:00 AM for UPS and Fed Ex Ground Service, 12:00 PM daily for Federal Express, overnight service and 2:30 PM daily for United Postal Service Express Mail services.

Mail Preparations

The Postal Service requires mail to be addressed and prepared as shown in the example below, to make it compatible with automated mail handling equipment. The following points will make your mail qualify for postage discounts.

  • Use a number 10 business envelope rather than larger or smaller envelopes.
  • Addresses should be typewritten in all capital letters, block format.
  • Omit all punctuation except the hyphen between the zip+4 code. If you do not have the zip+4 code, you may obtain it from the US Postal Service website.
  • Place address within OCR (optical character read area). Keep lower 5/8 inch of envelope clear for printing of barcode.

Bulk Mailing

The college maintains a non-profit, bulk mailing permit for large mailings. All artwork must be approved for a mail piece prior to printing.

If you are anticipating a bulk mailing in the near future, please contact the Central Services Manager, Dave Kress, Mail Services Lead, Judy Robbins or Print Shop Manager, Dave Weber.

Personal Mail

As a courtesy, Mail Services will deliver your personal letter mail to the Des Moines Post Office at 3:00 PM each day. Postal regulations do not allow us to deliver personal packages. Apply sufficient postage. (Check the US Postal Service website or call the Mail Services Lead for rates). Rubber band your personal mail and place in outgoing mail basket.

Recycling

As a state entity, Highline College is required to reduce waste through recycling and purchase products made from recyclable materials. We recycle cardboard, white paper, colored paper, aluminum cans, newspapers, glass, toner cartridges, office furniture.

To help our recycling program, observe the following tips:

  • Use the recycling containers on campus for recyclable materials, not garbage.
  • Use voice mail and e-mail instead of written memos.
  • Route periodicals, newspapers and memos, where possible.
  • Make double sided copies and use drafts of memos as scratch paper.

Surplus

Central Receiving removes items that are no longer needed to the warehouse in Building 25, as space allows. A small supply of reusable items such as tables, desks, chairs, etc. are kept on hand. Other items are disposed of through the State Commodity Redistribution Office, as necessary.

To have an item removed from your area for surplus, send or email a Surplus Tracking Form to the Central Services Manager. At certain times of the year, the warehouse is full  and service will be provided as space allows.
